1. Who we are
Maqutt Studio Ltd ("we", "us", "our") is the controller of the personal data described in this policy. We are a company registered in England and Wales under company number 17154771, with a registered office at 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. The studio publishes under the pen name Bilee J.
You can contact us about privacy at hello@maqutt.studio. We are registered with the Information Commissioner's Office (registration applied for; number to be added once issued).
2. What this policy covers
This policy explains how we handle personal data when you visit this website and use the features on it, including the Green Room contributor form and the newsletter signup. If you submit a line through the Green Room form, the terms and licence that apply to your contribution, together with a privacy notice, were presented to you on the form itself at the time you submitted; this policy sets out, on its own, how we handle the personal data in Green Room contributions.
3. The personal data we collect
We collect:
- Technical and usage data. When you visit the site, our hosting, content delivery, and security providers process limited technical data such as your IP address, device and browser type, and the pages you view, so that the site loads, stays secure, and works properly.
- Contributor submissions. If you take part in the Green Room section, we collect the line you submit, the credit name you choose, your "where you are" caption, the scene and any city or town you give, the date and time of your submission, and your email address, but only if you choose to provide it. The Green Room form is hosted by Google and opens on Google's site when you click through, and the terms and licence that apply to your contribution were presented on the form when you submitted.
- Newsletter waitlist. If you join our newsletter waitlist, we collect your email address, any name you give, and the date you signed up, so that we can email you when the newsletter launches. We store waitlist sign-ups in a private Google Sheet.
- Correspondence. If you email us, we hold the content of your message and your contact details so that we can reply.
We do not deliberately collect special category (sensitive) data, and we do not direct this site at children or knowingly collect their data. Please do not send us sensitive personal information through the site or the form. If a Green Room contribution nonetheless contains special category data, we remove it before any publication, unless it is integral to the line and you have given your explicit consent to publish it.
4. How and why we use your personal data, and our legal bases
To run, secure, and improve the site. Our legal basis is our legitimate interests in keeping the site available, safe, and working correctly.
To receive, read, and consider Green Room contributions, and to publish selected lines in the book and related uses. Our legal basis is the performance of the contributor agreement you enter when you submit, together with our legitimate interests in producing the book. The licence and terms that apply are the ones presented on the contribution form when you submitted.
To email you when our newsletter launches, if you joined the waitlist, and to send you the newsletter once it is running if you have asked to receive it. Our legal basis is your consent, which you can withdraw at any time, including by asking us to remove you or, once the newsletter runs, through the unsubscribe link in every issue.
To send you news about the book, if you gave your email address for that purpose when contributing. Our legal basis is your consent, which you can withdraw at any time.
To respond to your correspondence. Our legal basis is our legitimate interests, or taking steps at your request.
To comply with the law, or to establish, exercise, or defend legal claims. Our legal basis is compliance with a legal obligation, or our legitimate interests.
5. Who we share your personal data with
We do not sell your personal data. We share it only with service providers who help us run the site and the newsletter, and with legal or regulatory bodies where the law requires. Our main providers are set out below.
| Provider | What they do | Where they process data | Safeguard for transfers outside the UK |
|---|---|---|---|
| Cloudflare, Inc. | DNS, content delivery, security, email routing, and website hosting (Cloudflare Pages) for our domains | United States and globally | UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses, and, where the recipient is certified, the UK Extension to the EU-US Data Privacy Framework |
| Google LLC | Hosts the standalone Green Room form and receives its submissions, and stores newsletter waitlist sign-ups in a private Google Sheet | United States | UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses, and, where the recipient is certified, the UK Extension to the EU-US Data Privacy Framework |
| Beehiiv, Inc. | Our newsletter platform, which will run the newsletter when it launches (not yet collecting data) | United States | UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses, and, where the recipient is certified, the UK Extension to the EU-US Data Privacy Framework |
Where we share your personal data with these providers, we do so only where we are satisfied that they will protect it and use it only on our instructions.
6. International transfers
Some of our providers are based outside the United Kingdom, including in the United States, so running the site and the newsletter involves transferring personal data internationally. Where we transfer your data outside the UK, we take steps to ensure it is protected to UK standards. Depending on the provider, we rely on the UK Extension to the EU-US Data Privacy Framework (the UK-US data bridge) where the recipient is certified under it, or on the UK International Data Transfer Agreement, or on the UK Addendum to the EU Standard Contractual Clauses. You can ask us for more detail about the safeguards that apply to a particular transfer.
7. Is your personal data secure?
We take the security of your data seriously and have put in place appropriate measures to protect it. We limit access to your personal data to those who need it for the purposes described here, and they are subject to confidentiality obligations.
8. How long we keep your personal data
We keep personal data only for as long as reasonably necessary for the purposes for which it was collected.
- Technical and usage data is kept for a short period for security and operational purposes.
- Contributor submissions. If your contribution is published, we keep the credit name and the record of your licence and acceptance for as long as the book remains in circulation, so that we can credit you correctly and evidence the licence. If your contribution is not selected and we decide not to hold it for a possible future edition, we delete the personal data attached to it, meaning your credit name, caption, scene, city, and email, within 12 months of the book's first publication, or within 12 months after submissions close if the book is not published, keeping at most an anonymised version of the line. Material already printed in distributed copies cannot be withdrawn.
- Newsletter waitlist data is kept until the newsletter launches and we have sent the launch email, or until you ask us to remove you. If we have not launched the newsletter within 12 months of your signing up, we delete the waitlist. Once the newsletter is running, subscription data is kept until you unsubscribe.
- Correspondence is kept for as long as needed to deal with your query and for a reasonable period afterwards.
9. Your rights
You have the following rights in relation to your personal data:
- to be provided with a copy of the personal data we hold about you;
- to ask us to correct personal data that is inaccurate;
- to ask us to delete your personal data in certain circumstances;
- to ask us to restrict our processing of your personal data in certain circumstances;
- to ask us to transfer your personal data to you or a third party in certain circumstances;
- to withdraw your consent, where consent is the basis on which we process your data;
- to object to our processing of your personal data for direct marketing; and
- to object to our processing of your personal data in certain circumstances where we rely on legitimate interests.
For more information on these rights, see the Information Commissioner's Office website at https://ico.org.uk.
10. How to exercise your rights, and contact
If you wish to exercise any of these rights, please contact us at hello@maqutt.studio. You will not usually have to pay a fee, although we may need to ask for information to confirm your identity. We will normally respond within one month, and will tell you if we need longer because your request is complex.
11. Changes to this policy
We review and update this policy from time to time. Please check this page when you visit the site.
12. Complaints
If you think we have handled your personal data in a way that breaks data protection law, please complain to us first, at hello@maqutt.studio, by any means that suits you, including email or social media. We will acknowledge your complaint within 30 days, look into it, and keep you informed of our progress and the outcome without undue delay. If you are still unhappy after we have responded, you can also contact the Information Commissioner's Office (https://ico.org.uk/make-a-complaint).
What cookies are
Cookies are small files placed on your device when you visit a website. Similar technologies, such as local storage and pixels, work in comparable ways. We refer to all of these as "cookies" here. Cookies can be strictly necessary for a site to work, or they can be optional, for example cookies that measure how a site is used.
The cookies this site uses
Under the UK rules (the Privacy and Electronic Communications Regulations, as amended by the Data (Use and Access) Act 2025), some cookies need your consent and some do not.
- Strictly necessary cookies (no consent needed). These are needed for the site to load, stay secure, and work. They include security and performance cookies set by our provider Cloudflare.
- Low-risk analytics and appearance cookies (no consent needed, but you can opt out). The rules also let us use, without consent, cookies that only measure how this site is used so we can improve it, and cookies that only adapt the site's appearance or how it works to your device, provided we tell you about them and give you a way to opt out. At present we set no such cookies: if we measure site use, we use a privacy-friendly tool that sets no cookies. If we ever add low-risk analytics cookies, we will describe them here and give you a way to opt out.
- Advertising and tracking cookies (consent needed). We do not use cookies that advertise to you, track you across other sites, or share your data with third parties for advertising. If that ever changed, we would ask for your consent first.
Our newsletter waitlist form sends your email to a private Google Sheet without embedding any third-party code in this site's pages, so it does not set cookies here. The Green Room form opens on Google's own site when you click through, so any Google cookies for that form are set there, under Google's policies, not on this site.
This site does not set any cookies of its own. When we checked, no cookies were set at all. The only cookies that might appear are strictly necessary security and performance cookies from our provider Cloudflare, for example one that helps tell human visitors from automated bots and that lasts only a short time. These need no consent, and on an ordinary visit you may see none.
Settings we remember on your device
So the site can remember choices you make, it stores a few small functional values in your browser's local storage. These stay on your device, are never sent to us or anyone else, contain no personal data, and are not used to identify or track you. Each one is written only when you actively change a setting.
| Value | What it remembers | Kept until |
|---|---|---|
| pinkomaFontScale | Your chosen text size | you clear it |
| pinkoma-rebecca-mode | Whether "Dark Rebecca" mode is on | you clear it |
| pinkoma-timer-sound | The Tight-Five timer's sound on or off | you clear it |
| pinkomaRailExpanded | Whether the side progress rail is expanded | you clear it |
| pinkomaDiaryUnlocked | Whether you have opened the Travel Diary | you clear it |
| pinkomaDeskNavHidden | Whether you have hidden the top menu bar | you clear it |
Under the Privacy and Electronic Communications Regulations, as amended by the Data (Use and Access) Act 2025, storage that is strictly necessary, or that simply remembers your preferences, is exempt from consent. We still tell you about it here, and you stay in control: you can clear these values through your browser, or reset them using the button below.
How to control cookies
This site sets no cookies of its own, and at most only strictly necessary cookies from Cloudflare, so there is no cookie banner to accept or reject.
You can still control and delete cookies through your browser settings, and set your browser to warn you or refuse cookies, though blocking strictly necessary cookies may stop parts of the site working. If we ever add low-risk analytics or appearance cookies, we will give you a way to opt out; and if we add advertising or other cookies that need your consent, we will ask for it through a banner before setting them.
